Let the work done by hand in Excel, e-mail and Teams run itself

Every company has repetitive work outside SAP or whichever ERP it runs: spreadsheets merged every month, the same e-mails to the same people, a team plan typed up every morning, a list downloaded from a portal, a request waiting for approval. We hand that work to automations that run on the Excel, Outlook and Teams your team already uses. You describe the work, we set it up.

What it covers

Here, office automation means handing repetitive computer work to software. You do not need SAP or any other ERP; if the work happens in Excel, Outlook, Teams, a CRM or a web portal, that is enough. Some of the work we can automate:

  • Excel consolidation: collecting files from people or sites, merging them, checking them and filling a template
  • Report automation: weekly and monthly reports prepared and sent at a set time
  • Outlook flows: saving incoming attachments, pulling their data into a table, sending replies and reminders
  • Teams notifications: a message to the right channel when a job finishes, a threshold is crossed or an approval is waiting
  • Team plans and daily task distribution: the planned work goes to the team every morning, a summary comes back every evening
  • Web portals: downloading lists and documents from bank, e-document and partner portals, filling in forms, checking statuses
  • Approval flows: who a leave, expense, purchase or document request goes to, and in which order

Spreadsheets and reports

The same spreadsheets arrive from the same people every month, and someone merges them, moves them into a template, checks the totals and sends them on. It is not hard work. It is long, it needs attention, and it waits whenever that person is on leave.

An automation runs the whole chain. It collects the files, sets aside rows that are missing data or do not add up, fills the company template and sends the report at a fixed time. What it sent, to whom, and why a row was set aside are all on record. If you already have a macro that works, we can make it traceable and build around it.

E-mail, Teams and approvals

Done by hand, messages get forgotten, arrive late or go to the wrong person. An automation ties each event to a rule: the report goes to the distribution list when it is ready, the approver hears when something is waiting, the owner hears when a job is stuck. Who sees what is defined up front, messages can be previewed before they go out, and the target group is checked before sending.

For approvals, you set the rules: which amount goes to whom, and who gets reminded after how many days. The automation does not decide anything; it gets the decision to the right person on time and records every step.

Macro, robot or a small application

The same tool is not right for every job. Sometimes a well-built spreadsheet or an automation tool already enabled in your company is enough, and we will say so. Work that spans several programs, runs overnight or needs a record suits a robot; work where several people share the same data suits a small application. The test is simple: the option that is easiest to maintain and that the team will actually use.

From a project

One team's planned work now goes out every morning and evening through Teams and e-mail without anyone writing or distributing it. Messages can be previewed before they are sent, and the target group is checked first.

Questions

We do not use SAP. Does this still apply?

Yes. Office automation does not depend on SAP or any ERP. If you run SAP, Dynamics 365, Oracle, Logo, Mikro or another ERP, data taken from it can be part of the same flow.

We use Microsoft 365. Do we need extra licences?

Usually not; the automation works with your existing Excel, Outlook and Teams setup. If we ever recommend a route that needs another licence, we say so in writing, with reasons, before you commit.

Whose account do the e-mails come from?

The one you choose: the person who does the work today or a shared mailbox. Which message goes to whom is defined as a rule and logged.

How long does it take?

A single report or e-mail flow is usually running within a few weeks. Work that involves several people and programs takes longer. We confirm timeline and price in writing after a short analysis.
