Planned work reaches the team every morning, and the day’s summary every evening, on its own.
BeforeProblem
A plan written by hand every morning
The team’s daily work lived in a to-do list. Keeping everyone informed meant sorting tasks by hand and writing a message every morning.
Nobody tracked which task was urgent, which was left over from yesterday or what had been finished by the evening.
NowApproach
The list stays put; a plan sits on top
We left the existing list as the single source of truth and added a planning layer on top. Tasks are assigned to a day and a person in one click and given a priority; unfinished work rolls over to the next day.
At a set time the plan goes to the team’s Teams group, and by e-mail to anyone who wants it. Automation that runs entirely on the office side, with no SAP involved.
Highlights
Morning plan, evening summary
At a set time one message goes to the team: tasks per person, priorities, what is left from yesterday. The evening message lists what got done.
Everyone gets their own work
Optionally, each person receives an e-mail with only their own tasks.
You see it before it goes
Every message is previewed before sending and can be edited directly in the preview.
Priorities and carry-overs
Urgent and important tasks are labelled, and work left from yesterday is marked separately.
On record
What was sent, to whom and when is stored along with the content.
Easy to install
Installation takes a few minutes and does not tie up the IT team.
The plan writes itself
Every morning the team sees who does what, and every evening what got done, in the same channel. The morning minutes spent putting a plan together are gone.
The same approach fits any kind of work distribution: shift plans, field teams or project tasks.
- Morning plan and evening summary go out by themselves
- Automatic
- The team sees the plan in the channel it already uses
- Teams and e-mail
- Messages can be checked and edited before they go
- Preview first
