Repetitive SAP work from several teams, running on one platform where each process lives in its own module.
BeforeProblem
The same screens, every day, every month
Creating master records, closing the period at month end, moving purchase requisitions through approval to orders and receipts, preparing periodic reports. Finance, purchasing and production were doing all of it by hand.
The work was slow and prone to human error. The goal was to automate it under each employee’s own permissions, in a way that could be audited and reversed.
NowApproach
A small system, not a one-off macro
At the centre sits a management layer that holds the job list, the queue, permissions and records. The work itself happens on the employee’s own computer, in their own SAP session, so the answer to “who entered this record” never changes.
Shared concerns such as queueing, locking, logging, reporting and e-mail live in one place. Each process carries only its own flow, so adding a new job is as simple as writing a new module.
Highlights
The robot creates master records
Requested material, customer and vendor records are created in bulk with the right details.
Month-end close runs in order
Closing the period, completing work orders and opening the new period happen in the right order at the right time.
From requisition to service entry
An invoice becomes a purchase requisition, goes for approval, turns into an order and gets its receipt. The invoice amount is checked against SAP automatically.
Scattered data, standard report
Data arriving in Excel files and e-mails is turned into the company’s standard report template and distributed.
It stops when in doubt
An action whose outcome cannot be read with certainty is never retried automatically. It is marked as needing approval and waits for a person.
No hidden rules
Users see every step and its result. Time saved is measured and reported per job.
Automation that can grow
Today the platform carries master data, month-end close, the purchasing chain, periodic reports, quality and costing processes. Work that took hours by hand takes minutes, and the time saved is measured per job.
Every change is protected by automated tests. Each new step that touches SAP is rehearsed in a trial environment first.
- Time spent on repetitive SAP work
- Hours → minutes
- A new process is added as a new module
- Modular
- Every action runs under the employee’s own permissions, on record
- Traceable
